If you have planned a conference in the past, then you already know how time consuming it can be to simply manage the meeting rooms. Figuring out which speaker will be in which room and how many attendees it can hold can create a huge headache. Here are some tips to help make it a little simpler.
Start with Software
You are fortunate that you live in the modern era, because you have the benefit of using meeting room software to help you with this task. These programs will map out your rooms, how many people they can hold and the other important details of your conference.
With this type of program, you can make instant changes when the need arises. Whether you have a speaker who cancels and you need to swap rooms around or you have sudden interest in a session and need to move it to a larger room, you can do so with the click of a mouse. You may also be able to use the program to have your attendees RSVP to the seminars they will attend during your conference, so you have real time updates as to what rooms are filling and what rooms have space.
Anticipate Needs
While meeting room management software allows changes to be made quickly and simply, anticipating the needs you will face is usually the best idea. If you have planned a similar conference before, you may already have an idea in mind as to which speakers and topics are going to draw the most interest. Place these in your larger rooms at the outset, filling in the smaller rooms with less popular seminars.
Avoid Conflicts
